1. Purpose
This policy is designed to establish clear workplace expectations for employees and agents of M1llion Estates. It ensures a professional, safe, and ethical working environment, aligned with UK employment laws and industry standards in real estate.
2. Code of Conduct
All staff must maintain integrity, professionalism, and courtesy in all business dealings.
- Compliance with The Property Ombudsman (TPO) Code of Practice is mandatory.
- Discrimination, bullying, or harassment of any kind will not be tolerated.
3. Working Hours & Flexibility
- Office hours are 9:00 AM to 6:00 PM, Monday to Friday.
- Agents may work flexible hours based on client needs, including evenings and weekends for viewings or open houses.
- Remote work is permitted for certain administrative roles, subject to management approval.
4. Dress Code
- Business attire is required during client meetings, property viewings, and formal events.
- Smart casual is acceptable in the office when not engaging with clients.
5. Client Relationship & Data Management
- All interactions with clients must be respectful, confidential, and timely.
- Agents must update client interactions and property status in the company CRM within 24 hours.
- All marketing and communication must be GDPR-compliant.
6. Confidentiality & GDPR Compliance
- All staff are required to protect client data in accordance with the UK General Data Protection Regulation (UK GDPR).
- Personal or sensitive information must not be shared or used without appropriate legal basis or consent.
7. Compliance & Professional Standards
- Staff must hold valid licences or accreditations where required, such as membership with National Association of Estate Agents (NAEA) or Propertymark.
- Regular CPD (Continuing Professional Development) is encouraged and may be required for career progression.
8. Use of Company Resources
- Use of company property (phones, laptops, vehicles, etc.) is strictly for work-related purposes.
- Misuse of company resources may lead to disciplinary action.
9. Health & Safety
- M1llion Estates is committed to providing a safe workplace in line with the Health and Safety at Work Act 1974.
- Employees are expected to report unsafe conditions or incidents immediately.
10. Anti-Harassment & Equality Policy
- We uphold the Equality Act 2010 and enforce a zero-tolerance policy on discrimination or harassment based on race, gender, religion, disability, sexual orientation, or age.
- Employees may report incidents confidentially to HR or their line manager.
11. Property Visits & Lone Working
- Agents attending viewings alone must inform a colleague of their schedule.
- Lone working procedures must be followed for safety, including use of company check-in systems or apps.
12. Disciplinary Procedures
- Violations of this policy will be dealt with according to our internal disciplinary process, which may include verbal warnings, written notices, suspension, or termination.
13. Policy Review
This policy will be reviewed annually and updated to reflect changes in law, best practices, or operational requirements.
14. Acknowledgment
All employees and agents are required to sign a written acknowledgment confirming they have read, understood, and agreed to comply with this policy.
